No matter the size of the company or the industry, processing accurate payroll is arguably the most crucial aspect of running a successful business. Ensuring employees are paid on time, every time, “walks the talk” in showing you value your people and their dedication to serving your customers.

In celebration of National Payroll Week, and to honor payroll professionals and the hardworking employees they support every day, Ultimate Software hosted our first-ever #PayrollCounts campaign in 2017. We asked employees everywhere to nominate a colleague they believe deserves an extra paycheck. We received so many heartfelt stories detailing the extraordinary lengths people go to help others.

Congratulations to Rita Finnegan, district manager at Offerdahl’s Café Grill in South Florida, recipient of Ultimate’s #PayItForward prize. Here’s an excerpt of her nomination, explaining why Rita deserved to win:

“She cares and loves every coworker and customer, she will do anything to help anyone. She has driven me to and from work when I had no car, helped others in so many ways. She is a true Rock Star, the most UNSELFISH human I have ever met and deserves an extra paycheck and more.”

Thanks to all who nominated their peers in 2017 and showed everyone why #PayrollCounts every day of the year.

Want to nominate a colleague who deserves an extra paycheck? Stay connected with Ultimate on social media for details on our next #PayrollCounts campaign—coming soon.

Ultimate Software’s #12DaysofHCM is back by popular demand! During the next two weeks, we’ll recap some of the most talked about topics from 2017, and preview what’s ahead for 2018.

hr sparkUltimate Software’s new video series, HR Spark, welcomes a bevy of industry experts for in-depth conversations on some of today’s hottest HCM topics and tomorrow’s most promising innovations. The underlying goal? To ignite ideas for your people and your business.

In case you missed it: First, the series talked hearing the “Voice of the Employee” and using advanced survey solutions to better understand how people truly feel about work. The next episode covered fostering an employee-centric “Workplace Culture” and the importance of putting people first.

Going Remote

Fittingly, the third episode of HR Spark hits the road to explore “Working on the Go” and the rising number of remote employees comprising today’s workforce. Reporting seaside from beautiful West Palm Beach, HR Spark host Matt Mullan sits down with Ryan Bergstrom, vice president of product management at Ultimate, and Ben Eubanks, principal analyst at Lighthouse Research & Advisory, who joins the show via Skype.

The discussion hits on a variety of tools and technologies available to help remote workers remain productive, even if they’re hundreds of miles from the office. Ryan provides key insight into how advances like Ultimate’s new UltiPro® mobile app are helping companies deliver the same, engaging workplace experience employees expect when they’re working from home or in the field.

“When you’re on the go, and being able to work in the app now, it gives you a wholly different world of just ease of use,” explains Ryan. “The systems are much simpler to use. You can take and do what seems like maybe a really complex task and you can go into a more mobile experience and do it in a really simple way, and get your job done.”

Building on Ryan’s point, analyst Ben reminded viewers that, sometimes, people just want to be able complete routine tasks, such as updating their contact information or viewing pay history, without having to lean on HR. This is especially crucial for employees who are away from the office—and today’s HCM tech is giving them the power to do so, while further freeing HR to focus on more strategic initiatives. “Being able to make those changes remotely means one less hassle for HR, and a little less trouble for [employees], too,” says Ben.

“That concept of viewing your paycheck, it seems like an easy enough thing … but, in reality, that paycheck’s different every single week,” adds Ryan. “And that generates a lot of questions [from employees]: ‘Why is this earning different? Why is this deduction different?’ … Being able to access that [pay] information on the go really adds a lot of efficiency.”

Prioritizing Payroll
Whether you manage a remote workforce or a traditional office, running payroll is perhaps the most important component of your business. To that end, the fourth episode of HR Spark focuses on payroll. More specifically, it celebrates National Payroll Week and honors the hardworking professionals who help ensure all employees get paid accurately and on time, every time.

Joining Matt for an oceanfront chat this time were Andie Heffernan, manager of business analysis at Ultimate; Kate Bischoff, employment attorney and consultant at tHRive Law & Consulting LLC; and Justine Belt, payroll manager at RMH Franchise Corporation, the second-largest franchisee of Applebee’s restaurants in the United States.

In a one-on-one interview to kick off the episode, Andie and Matt point out some of the biggest challenges facing HR’s “unsung heroes” in payroll: from computing complex calculations to remaining compliant at the local, state, federal, and provincial levels.

“Most employees take for granted the amount of effort required to get payroll correct,” says Andie, though “technology has simplified the processes that feed into payroll, making it seamless to pay employees more accurately.”

But, getting payroll right isn’t just about ensuring employees get paid. When payroll goes wrong, there can be major legal ramifications for an organization—as discussed among the episode’s expert panel.

“There are so many [potential issues],” adds employment attorney Kate. “Imagine what the U.S. Department of Labor is going to say about failure to pay overtime and minimum wage? … When there is a payroll issue, that not only starts some litigation and agency action, but then it also can ripple into some of the big compliance areas.”

Fortunately, for Justine and her colleagues at RMH Franchise Corporation, powerful payroll software has provided much relief for administrators and peace of mind for employees by simplifying processes and enabling role-based access to essential pay information.

“RMH grows very rapidly, and, in the past, our providers could not keep up with us,” explains the payroll manager. “Switching to Ultimate, we no longer have those worries. We know we’re compliant with all our state and local payroll taxes. And to give our employees a self-service payroll module, where they can go in and see their paychecks and their W-2s—that was the deciding factor for us.”

There’s plenty more to learn in the latest episodes of HR Spark. Check them out today, and stay tuned for the recap of our October and November episodes.

Payroll.

It’s perhaps the only business function that affects every single employee and is a standard need of businesses both big and small, regardless of industry. This week is National Payroll Week, and Ultimate Software is asking you to #PayItForward with our #PayrollCounts giveaway. In honor of the amazing professionals who process payroll, we’d like to give an extra paycheck to someone who brings their all to the workforce every day. Here’s your chance to recognize a co-worker who consistently goes the extra mile, is a great team player, or has really come through during crunch time! Simply tag your nominee in a comment on our Facebook, Instagram, or LinkedIn posts and share why you feel they deserve an extra paycheck. You can also make your nomination by replying to our Twitter post. To learn more about why we’re honoring payroll, read on.

Not wholly HR, not fully finance, payroll is its own separate entity responsible for a variety of crucial operating functions. Even the smallest oversight can result in costly ramifications, not to mention the immediate and far-reaching consequences of consoling a litany of unhappy employees (or perhaps the IRS). With this vital emphasis on accuracy and nearly non-stop calculations, it’s no wonder that on average, 35% of an entire HR department’s time is spent handling payroll inquiries alone.  Thinking beyond the next processing date—much less evaluating year-over-year payroll trends—becomes difficult, if not impossible.

Fortunately, this oversight is changing. Business leaders worldwide are recognizing payroll’s full potential, and in 2017, 57% of executives agreed that employee compensation is becoming more important to them. It’s now understood that payroll’s function goes far beyond direct deposits and compliance; it holds a wealth of powerful data that can both actively guide decision-making and boost corporate performance.

Technological innovation is at the heart of this evolution, as unified, cloud-based HCM solutions provide a high degree of automation to streamline workflows and administrative overhead. Today’s best-in-class solutions have transformed payroll from its laborious past into a hassle-free, paperless, people-focused function where time collection, pay, and withholdings are calculated instantly, regardless of such complexities as overtime, tips, multiple job codes, or garnishments. Everything is in a single system of record, eliminating numerous inefficiencies and ensuring seamless integration between payroll and third-party providers.

Some solutions provide even further configurability. UltiPro®, for example, leverages the fastest payroll engineroll  in the industry, processing a variety of different pay combinations based on unique business needs. Compliance needs are continuously updated, as are tax calculations.

The result? Administrative costs (and efforts) are dramatically decreased, accuracy is enhanced, and personnel are free to focus on serving their people and applying payroll’s wealth of business intelligence metrics towards pursuing long-term organizational goals.

Indeed, payroll is perhaps the richest source of human capital data in any organization, and trend analyses can do everything from determine appropriate salary ranges to target compliance issues or diversity concerns. Every single data point, from average 401(k) contributions to teams with disproportionate levels of turnover, can be used to glean a strategic understanding of the workforce and offer illuminating insights into trends and areas of improvement. Leaders are empowered to make deliberate, unbiased, data-backed decisions that maximize their organization’s growth and efficiency.

Finally, payroll can be used as an opportunity to connect with employees, building trust through real-time transparency and improving engagement through ease of use and mobile access. It is truly a powerful resource for every organization, ready to reach its strategic potential with a front seat at the executive table.

Every day, and especially this week, we honor the people behind payroll. The ones who are committed to ensuring payroll runs smoothly week after week, and hard-working people are paid accurately and on time, every time. So, help US #PayItForward and share on social how and why #PayrollCounts.

Just like how February is for sweethearts and November is for feasting, for many Americans, April is synonymous with one thing: filing taxes. Depending on your personal and financial situation, the process can be relatively smooth or plagued with technicalities, and the same is true for businesses.

payroll softwareIf you’re a small company with a few local employees, it’s possible that your tax services process can be reasonably handled by an in-house employee. But for most businesses, managing employee taxes is an extremely complex endeavor, as you’ll need to manually navigate through thousands of tax jurisdictions—there are 7,000 in Pennsylvania alone—to assign the correct tax code for each employee. And the price of non-compliance is steep; in 2014, the IRS issued 6.8 million penalties related to employment taxes alone, costing US businesses $4.5 billion. For these reasons, it often makes more sense to use payroll software and services that can meet your organization’s unique needs while conserving internal resources and ensuring IRS compliance.

How Payroll Software Can Help

Some payroll solutions offer a comprehensive tax management feature to help businesses handle all tax and compliance computations, including withholding requirements, multi-state taxing rules and reciprocity, and more. All U.S. federal, state, and local tax regulations can be updated automatically, as well as Canadian federal and provincial/territorial regulations. And to simplify things even further, these solutions often leverage the latest geographic information systems to automatically determine the correct tax codes for employees.

As a result, tax information is processed quickly and accurately, simplifying the administrative process and mitigating compliance risk. Technology providers can even provide services to print, seal, and send you your year-end tax forms, ready for immediate distribution. For Ultimate Software, tax services are just another way we’ve designed our solution to put people first.

Service: Putting People—and Their Taxes—First

In addition to UltiPro’s strong payroll solution, service has always been a differentiating factor. In an industry where 7 out of 10 HR decision makers report regretting their HCM provider choice, Ultimate stands proud with a 95% customer satisfaction rate. We’re in the people business, and we treat our customers as partners for life. This means that you’ll work closely with one of our dedicated representatives—throughout the entire process—to define and implement the strategies that make sense for your company.

To learn more about how Ultimate’s HR, payroll, and talent management software can fulfill your human capital management needs, join us for a live UltiPro Web Demo on April 27, at 2:00 p.m. Eastern time.

No matter an employee’s specific role in an organization, one topic is most likely top of mind: their paycheck.

Ensuring people are paid accurately and on time is perhaps the most important aspect of running a successful business. But payroll administrators shouldn’t be the only ones who understand a paycheck.

As more and more employees expect anytime access to their personal information, increased insight into their paychecks is becoming more and more in demand. Providing employees the opportunity to view their pay information in advance—or even calculate future take-home pay based on hypothetical changes such as new earnings or deductions—can save valuable time and reduce stress.

Indeed, organizations receive an average of 1,150 calls and emails about employee pay each year, according to Bloomberg BNA.

When you crunch the numbers, providing increased pay insight clearly pays off.

Every two weeks, Ultimate Software hosts a live webcast where attendees often have the opportunity to hear from real-life UltiPro users. Our customers share stories of how UltiPro has helped their organizations tackle specific HR challenges, make life easier for their people, and improve their overall business.

Attendees recently heard from Gregg Paulk, director of information technologies at Anderson Center for Autism, a non-profit organization dedicated to providing the highest-quality programs for children and adults with autism. Based in Staatsburg, New York, Anderson operates a school and residential campus comprising 19 facilities, as well as more than 20 adult houses and three day-habilitation programs, called LifeLong LearningSM Centers.

UltiPro user and Ultimate Software customer Anderson Center for Autism used predictive analytics with UltiPro to retain their best employees.

During the webcast, Paulk discussed how UltiPro has helped Anderson realize operational efficiencies, scale the organization from 500 to 850 employees working in more than 40 locations, and improve its talent management with the UltiPro’s predictive analytics tools.

A long-time Ultimate customer, Anderson has taken advantage of our free training courses and various educational resources available to all customers. According to Paulk, after learning about UltiPro’s predictive analytics, it was immediately clear Anderson could benefit from the talent management tools.

“I said, ‘Hey, we want this right now,” recalled Paulk, impressed by the data-based technology. “And within two weeks, Ultimate got us set up.”

Within a week of implementing UltiPro’s predictive analytics, Anderson noticed the effectiveness of tools such as the UltiPro Retention Predictor™, which forecasts an employee’s intent to stay or leave an organization within the next 12 months.

“We could see the staff that we really wanted to nurture based on high marks, as well as the ones who were trending toward trouble,” said Paulk. For the latter group, “we were able to call them in, ask them what was going on, and see what we could do so they’d decide to stay with us.”

Paulk described the experience with UltiPro’s predictive analytics tools as “phenomenal.” He also highlighted Anderson’s ongoing partnership with Ultimate, and how it has impacted the entire organization: “Ultimate continues to help us provide additional services to our staff and to our managers, so they’re able to better manage their staff.”

With this being National Payroll Week, we wanted to take a closer look at a hot-button issue for payroll professionals across America. In this post, we’ll focus on one state in particular: Pennsylvania.

If you’re a payroll professional, you probably know Pennsylvania has one of the most complex local tax structures throughout the country—as in, one simple employee change, such as a new address, will likely require some manual effort. You’ll likely need to determine which of the more than 7,000 tax jurisdictions the employee’s new address falls into, assign the correct tax codes, and manually update other business process associated with the address and tax change. Queue up several address changes for multiple employees, and you’re spending your morning submerged in local taxes and PSD codes.

It doesn’t have to be that way, though.

At Ultimate Software, we build “People First” solutions that help simplify business processes, so you can spend more time focusing on your people. One of the ways we make work life easier for payroll professionals is with UltiPro’s Smart Tax Search tool. This feature is available in the UltiPro solution at no extra cost and takes only a few simple clicks to turn on. Once enabled, the Smart Tax Search tool finds and provides the tax codes associated with work locations and employee addresses.

smarttaxHow, you ask? We’ve partnered with Esri, an international supplier of geographic information system (GIS) technology, to obtain geographic data for a location. Tax-jurisdictional boundaries are derived from the U.S. Census Bureau’s boundaries database and mapped to tax codes available in UltiPro.

What does that mean, you wonder? It means Smart Tax does the work, so you don’t have to. UltiPro eliminates the manual process of determining the appropriate tax codes for work and resident locations. It reduces the complexities and errors associated with assigning taxes in the United States and Canada. It saves you time and increases the quality and accuracy of data by attributing the right tax location to the right employee. And, it reduces the need for adjustments down the road that result from incorrect tax assignments.

Tell me more, you say. Smart Tax Search provides type-ahead functionality, predicting available address locations with each keystroke. It provides the ability to view, navigate, and select locations on an interactive map. And, it formats addresses to USPS and Canada Post standards, ensuring verified addresses for delivery of W-2s and other documents.

Sign me up, you exclaim! Enable UltiPro’s Smart Tax Search tool today and find out firsthand how UltiPro makes life easier for payroll professionals and employees in Pennsylvania, and across America.

Thank you, payroll professionals, for all the hard work you accomplish every day. You are amazing!

Happy National Payroll Week! National Payroll Week celebrates America’s 150 million wage earners and the payroll professionals who pay them. Through the payroll withholding system, we contribute, collect, report and deposit approximately $2.2 trillion – that’s 67% of the U.S. Treasury’s annual revenue.

To recognize National Payroll Week, we asked a few of our favorite industry thought leaders why they feel payroll is so important. We’d love to hear why it’s important to you! Tell us in the comments below.

Mary Faulkner“While employees want to feel connected to their work and have purpose, the bottom line is that it doesn’t mean anything if their pay isn’t correct. Payroll is a big responsibility that often gets overlooked, but it’s the most visible scorecard that employees have for knowing their worth to an organization. Payroll’s ability to get the numbers right is key in building credibility and trust with employees.” – Mary Faulkner, Surviving Leadership

Victorio Milian“Payroll is important, which sounds obvious. What isn’t always obvious is how important it may be. I’ve worked with senior leaders who forget to pick up their paychecks, so payroll isn’t critical in their minds. I’ve also worked with others where, if their check is off by a few dollars, will rage. And I get it – if you’re just getting by, financially speaking, the last thing you want is someone messing with your money.” – Victorio Milian, Creative Chaos HR

HR and Payroll Professional “From an HR perspective, payroll is one of those things that people don’t think about much unless something goes wrong. Therefore, I strongly prefer that payroll not hit the radar of my employees but think of it as a reliable and friendly service.” – Brad Galin, Roller Coaster HR

Kristina Minyard“Payroll is so important to HR for many reasons, but the number one reason is probably because of the integral role payroll plays in supporting the people of our organizations.” – Kristina Minyard, HR Pockets

Thank you to all the hard working payroll professionals that keep our businesses running. Please visit Ultimate Software’s blog later this week for more on National Payroll Week! In the meantime, visit the National Payroll Week’s Facebook page to enter their daily #PayrollWeek contest.

This year, however, is something special. 2015 marks a true milestone: Ultimate’s 25th anniversary. More than 1,800 payroll, HR and talent professionals from across North America will be joining us at the Bellagio to connect and network with their peers, hear from inspiring and motivational figures, gain new insights into UltiPro and the future of our solutions… and have a good time while they’re at it.

Throughout our 25 years, we’ve stayed true to the fundamental belief that people—their strength, resilience, creativity, and determination—are the core drivers of business success. To that end, the theme of Connections 2015 is “Unlock Your People Potential.” We’re celebrating the power of people with more options and opportunities than ever. Throughout the four-day conference, we’ll offer breakout sessions on a huge variety of topics through 11 special-interest tracks including industry best practices, getting the most out of UltiPro, and maximizing employee effectiveness. Simon Sinek, one of the true visionary thinkers of his time, will be there to share his remarkable research on insight into how leaders, think, act and communicate, as well as how this translates into a fulfilling work environment. Simon is a trained ethnographer and the author of two best-selling books, including Start With Why: How Great Leaders Inspire Everyone to Take Action. Finally, on Friday, renowned corporate speaker, businessman and artist Erik Wahl will demonstrate his inspiring technique using on-stage painting as a powerful visual metaphor for his message of innovation and business success. And at our Customer Appreciation Party in the evening, we’re thrilled to host Michael Bublé, one of the most beloved singer-songwriters in the world.

Of course, I’m also excited to show off our product roadmap for the coming year and share some of the things my team have been passionate about lately. And whether you’re a first time attendee or a Connections vet, you might just encounter some 25th anniversary surprises that we don’t want to spoil. As always, be sure to follow all the action on Twitter at #UltiConnect even if you can’t join us in person. See you in Vegas!

As the payroll administrator at Pekin Insurance, UltiPro has fundamentally transformed the way I interact with our employees. With all their personal information at their fingertips, Ultimate Software has enabled us to revolutionize the way we do business with our internal customers—our employees.

UltiPro is efficient. Uploading files to the Payroll Gateway for bonuses and deductions has never been so streamlined and intuitive. Turnaround time is amazing: finishing payroll on Tuesday puts money in our employees’ accounts by Thursday.

UltiPro is helpful. In addition to the multiple help and learning aids embedded in the software, there is a Rapid Response Hotline that is always available for those crucial moments.

UltiPro is personal. We can always rely on our dedicated Account Manager, Ingrid, for a quick and knowledgeable response. The tax team has been dedicated to working out any issues that have occurred. Payroll reconciliations are completed efficiently due to the reporting available to me. When I need help, my dedicated Ultimate representatives are there for me.

When we made the decision to switch to UltiPro, I never could have imagined the immense difference it has made to my life on an everyday basis.
