Just like how February is for sweethearts and November is for feasting, for many Americans, April is synonymous with one thing: filing taxes. Depending on your personal and financial situation, the process can be relatively smooth or plagued with technicalities, and the same is true for businesses.

payroll softwareIf you’re a small company with a few local employees, it’s possible that your tax services process can be reasonably handled by an in-house employee. But for most businesses, managing employee taxes is an extremely complex endeavor, as you’ll need to manually navigate through thousands of tax jurisdictions—there are 7,000 in Pennsylvania alone—to assign the correct tax code for each employee. And the price of non-compliance is steep; in 2014, the IRS issued 6.8 million penalties related to employment taxes alone, costing US businesses $4.5 billion. For these reasons, it often makes more sense to use payroll software and services that can meet your organization’s unique needs while conserving internal resources and ensuring IRS compliance.

How Payroll Software Can Help

Some payroll solutions offer a comprehensive tax management feature to help businesses handle all tax and compliance computations, including withholding requirements, multi-state taxing rules and reciprocity, and more. All U.S. federal, state, and local tax regulations can be updated automatically, as well as Canadian federal and provincial/territorial regulations. And to simplify things even further, these solutions often leverage the latest geographic information systems to automatically determine the correct tax codes for employees.

As a result, tax information is processed quickly and accurately, simplifying the administrative process and mitigating compliance risk. Technology providers can even provide services to print, seal, and send you your year-end tax forms, ready for immediate distribution. For Ultimate Software, tax services are just another way we’ve designed our solution to put people first.

Service: Putting People—and Their Taxes—First

In addition to UltiPro’s strong payroll solution, service has always been a differentiating factor. In an industry where 7 out of 10 HR decision makers report regretting their HCM provider choice, Ultimate stands proud with a 95% customer satisfaction rate. We’re in the people business, and we treat our customers as partners for life. This means that you’ll work closely with one of our dedicated representatives—throughout the entire process—to define and implement the strategies that make sense for your company.

No matter an employee’s specific role in an organization, one topic is most likely top of mind: their paycheck.

Ensuring people are paid accurately and on time is perhaps the most important aspect of running a successful business. But payroll administrators shouldn’t be the only ones who understand a paycheck.

As more and more employees expect anytime access to their personal information, increased insight into their paychecks is becoming more and more in demand. Providing employees the opportunity to view their pay information in advance—or even calculate future take-home pay based on hypothetical changes such as new earnings or deductions—can save valuable time and reduce stress.

Indeed, organizations receive an average of 1,150 calls and emails about employee pay each year, according to Bloomberg BNA.

When you crunch the numbers, providing increased pay insight clearly pays off.

Every two weeks, Ultimate Software hosts a live webcast where attendees often have the opportunity to hear from real-life UltiPro users. Our customers share stories of how UltiPro has helped their organizations tackle specific HR challenges, make life easier for their people, and improve their overall business.

Attendees recently heard from Gregg Paulk, director of information technologies at Anderson Center for Autism, a non-profit organization dedicated to providing the highest-quality programs for children and adults with autism. Based in Staatsburg, New York, Anderson operates a school and residential campus comprising 19 facilities, as well as more than 20 adult houses and three day-habilitation programs, called LifeLong LearningSM Centers.

UltiPro user and Ultimate Software customer Anderson Center for Autism used predictive analytics with UltiPro to retain their best employees.

During the webcast, Paulk discussed how UltiPro has helped Anderson realize operational efficiencies, scale the organization from 500 to 850 employees working in more than 40 locations, and improve its talent management with the UltiPro’s predictive analytics tools.

A long-time Ultimate customer, Anderson has taken advantage of our free training courses and various educational resources available to all customers. According to Paulk, after learning about UltiPro’s predictive analytics, it was immediately clear Anderson could benefit from the talent management tools.

“I said, ‘Hey, we want this right now,” recalled Paulk, impressed by the data-based technology. “And within two weeks, Ultimate got us set up.”

Within a week of implementing UltiPro’s predictive analytics, Anderson noticed the effectiveness of tools such as the UltiPro Retention Predictor™, which forecasts an employee’s intent to stay or leave an organization within the next 12 months.

“We could see the staff that we really wanted to nurture based on high marks, as well as the ones who were trending toward trouble,” said Paulk. For the latter group, “we were able to call them in, ask them what was going on, and see what we could do so they’d decide to stay with us.”

Paulk described the experience with UltiPro’s predictive analytics tools as “phenomenal.” He also highlighted Anderson’s ongoing partnership with Ultimate, and how it has impacted the entire organization: “Ultimate continues to help us provide additional services to our staff and to our managers, so they’re able to better manage their staff.”

With this being National Payroll Week, we wanted to take a closer look at a hot-button issue for payroll professionals across America. In this post, we’ll focus on one state in particular: Pennsylvania.

If you’re a payroll professional, you probably know Pennsylvania has one of the most complex local tax structures throughout the country—as in, one simple employee change, such as a new address, will likely require some manual effort. You’ll likely need to determine which of the more than 7,000 tax jurisdictions the employee’s new address falls into, assign the correct tax codes, and manually update other business process associated with the address and tax change. Queue up several address changes for multiple employees, and you’re spending your morning submerged in local taxes and PSD codes.

It doesn’t have to be that way, though.

At Ultimate Software, we build “People First” solutions that help simplify business processes, so you can spend more time focusing on your people. One of the ways we make work life easier for payroll professionals is with UltiPro’s Smart Tax Search tool. This feature is available in the UltiPro solution at no extra cost and takes only a few simple clicks to turn on. Once enabled, the Smart Tax Search tool finds and provides the tax codes associated with work locations and employee addresses.

smarttaxHow, you ask? We’ve partnered with Esri, an international supplier of geographic information system (GIS) technology, to obtain geographic data for a location. Tax-jurisdictional boundaries are derived from the U.S. Census Bureau’s boundaries database and mapped to tax codes available in UltiPro.

What does that mean, you wonder? It means Smart Tax does the work, so you don’t have to. UltiPro eliminates the manual process of determining the appropriate tax codes for work and resident locations. It reduces the complexities and errors associated with assigning taxes in the United States and Canada. It saves you time and increases the quality and accuracy of data by attributing the right tax location to the right employee. And, it reduces the need for adjustments down the road that result from incorrect tax assignments.

Tell me more, you say. Smart Tax Search provides type-ahead functionality, predicting available address locations with each keystroke. It provides the ability to view, navigate, and select locations on an interactive map. And, it formats addresses to USPS and Canada Post standards, ensuring verified addresses for delivery of W-2s and other documents.

Sign me up, you exclaim! Enable UltiPro’s Smart Tax Search tool today and find out firsthand how UltiPro makes life easier for payroll professionals and employees in Pennsylvania, and across America.

Thank you, payroll professionals, for all the hard work you accomplish every day. You are amazing!

Happy National Payroll Week! National Payroll Week celebrates America’s 150 million wage earners and the payroll professionals who pay them. Through the payroll withholding system, we contribute, collect, report and deposit approximately $2.2 trillion – that’s 67% of the U.S. Treasury’s annual revenue.

To recognize National Payroll Week, we asked a few of our favorite industry thought leaders why they feel payroll is so important. We’d love to hear why it’s important to you! Tell us in the comments below.

Mary Faulkner“While employees want to feel connected to their work and have purpose, the bottom line is that it doesn’t mean anything if their pay isn’t correct. Payroll is a big responsibility that often gets overlooked, but it’s the most visible scorecard that employees have for knowing their worth to an organization. Payroll’s ability to get the numbers right is key in building credibility and trust with employees.” – Mary Faulkner, Surviving Leadership

Victorio Milian“Payroll is important, which sounds obvious. What isn’t always obvious is how important it may be. I’ve worked with senior leaders who forget to pick up their paychecks, so payroll isn’t critical in their minds. I’ve also worked with others where, if their check is off by a few dollars, will rage. And I get it – if you’re just getting by, financially speaking, the last thing you want is someone messing with your money.” – Victorio Milian, Creative Chaos HR

HR and Payroll Professional “From an HR perspective, payroll is one of those things that people don’t think about much unless something goes wrong. Therefore, I strongly prefer that payroll not hit the radar of my employees but think of it as a reliable and friendly service.” – Brad Galin, Roller Coaster HR

Kristina Minyard“Payroll is so important to HR for many reasons, but the number one reason is probably because of the integral role payroll plays in supporting the people of our organizations.” – Kristina Minyard, HR Pockets

Thank you to all the hard working payroll professionals that keep our businesses running. Please visit Ultimate Software’s blog later this week for more on National Payroll Week! In the meantime, visit the National Payroll Week’s Facebook page to enter their daily #PayrollWeek contest.

For more than a quarter-century, Ultimate Software has been doing whatever it takes to help you put your people first. From the very first release of our product to our leap into the cloud and across the globe, we’ve never taken our eyes off the prize: delivering the tools you need to empower your employees every day of the year.

Connections Conference 2015Tuesday, March 24th marks the start of our annual customer and partner forum in Las Vegas, Connections. This year, however, is something special. 2015 marks a true milestone: Ultimate’s 25th anniversary. More than 1,800 payroll, HR and talent professionals from across North America will be joining us at the Bellagio to connect and network with their peers, hear from inspiring and motivational figures, gain new insights into UltiPro and the future of our solutions… and have a good time while they’re at it.

Throughout our 25 years, we’ve stayed true to the fundamental belief that people—their strength, resilience, creativity, and determination—are the core drivers of business success. To that end, the theme of Connections 2015 is “Unlock Your People Potential.” We’re celebrating the power of people with more options and opportunities than ever. Throughout the four-day conference, we’ll offer breakout sessions on a huge variety of topics through 11 special-interest tracks including industry best practices, getting the most out of UltiPro, and maximizing employee effectiveness. Based on popular demand, we’re even adding 500 more seats for our optional UltiPro Hands-on Learning sessions.

Our outstanding keynote speakers for Connections 2015 will amaze, inspire and inform. You’ll hear first from one of my personal heroes, Earvin “Magic” Johnson, Jr.—a legendary NBA star and hall-of-famer as well as entrepreneur and philanthropist, whose company has become the #1 brand in urban America. Simon Sinek, one of the true visionary thinkers of his time, will be there to share his remarkable research on insight into how leaders, think, act and communicate, as well as how this translates into a fulfilling work environment. Simon is a trained ethnographer and the author of two best-selling books, including Start With Why: How Great Leaders Inspire Everyone to Take Action. Finally, on Friday, renowned corporate speaker, businessman and artist Erik Wahl will demonstrate his inspiring technique using on-stage painting as a powerful visual metaphor for his message of innovation and business success. And at our Customer Appreciation Party in the evening, we’re thrilled to host Michael Bublé, one of the most beloved singer-songwriters in the world.

Of course, I’m also excited to show off our product roadmap for the coming year and share some of the things my team have been passionate about lately. And whether you’re a first time attendee or a Connections vet, you might just encounter some 25th anniversary surprises that we don’t want to spoil. As always, be sure to follow all the action on Twitter at #UltiConnect even if you can’t join us in person. See you in Vegas!

Payroll, Talent Management, HRMS, HCM, Succession, Recruiting, LMS, Compensation, Compliance…

As an industry—the HR software industry—we’ve come up with an impressive set of names, acronyms and stories to package up what we do. And, every decade or so, we apply new technology—client /server, Web, Cloud, mobile—to make it faster, easier and more accessible. It keeps life exciting in the business software world.

A few months ago, the management team at Ultimate took a step back to look at today’s industry landscape and what we need to do to support our customers over the next five years and beyond. What combinations of features, design, technology, and services should we be focused on?

We came to a pretty simple realization. It’s still all about people—and we must never lose that focus. From day one, we were founded on the profound belief that people drive the business.

As an industry, we’ve achieved huge benefits for customers by automating complicated processes. Calculating payroll, managing hiring, ensuring regular performance reviews—these are things that have become fundamentally easier through good software for administering business. And there are a number of excellent tools available to do it.

But we believe we can do better.

Our belief—and it is a simple idea—is that successful people are the foundation for successful business. People First. We live that every day at Ultimate. And we want to build products that reflect our philosophy. Products that we love to use because they are useful, and that our customers—from that payroll director across to the line of business manager—love to use.

For us, People First is a simple set of rules for how we build products:

  1. We serve people at work—helping them to connect, collaborate, organize and measure themselves to achieve business results.
  2. Since helping people achieve and collaborate is our #1 priority, administration should be the responsibility of the system.
  3. HR solutions should be a network of engagement. If we support the real connections between people, we can learn more about the business AND increase performance at the same time.
  4. The system of record is a great foundation for all of the above.

So as we continue to design, develop and evolve Ultimate products, we’re committing to remember the individual and our responsibility to help them achieve success—whether they are part of a team, managing a project, running a payroll, or leading an organization.

We want to use this forum as a way to share ideas and to learn. We’ve got some good thoughts (and some interesting projects in the Labs too) and we’re looking forward to insight from our customers, our partners, and our peers. Thanks for joining us!
