HR HERO:  Paula Thorn, West Virginia University Medicine

Accelerating reporting to credentialing bodies

West Virginia University Medicine is a provider of comprehensive healthcare services to all of West Virginia and surrounding states, with over 12,000 employees. As the state’s largest healthcare provider, WVU Medicine offers the full continuum of care through nine hospitals and their affiliated practices and clinics.

Prior to UltiPro, the health system’s facilities were using separate solutions that required time-consuming manual processes to enter and retrieve data. The organization sought a single solution in order to drive business value with a full range of HCM functionality and configurability.

Paula Thorn, HRIS manager for WVU Medicine, has led the health system’s utilization of UltiPro, helping the organization achieve greater control over reporting for key industry accreditations, improve employee productivity, and unlock significant operational efficiencies. Paula is also the Chair of Ultimate Software’s Healthcare User Group, and an active participant.

WVU Medicine is the only hospital in the state with a Magnet designation, a tribute to the organization’s proven track record of excellence in nursing services. With UltiPro, WVU Medicine is able to quickly and easily generate the requested reports related to nursing staff turnover, level of education, and certifications. UltiPro has also helped expedite reporting for the Joint Commission on Accreditation of Healthcare Organization (JCAHO). JCAHO can send inspectors on unannounced visits, and UltiPro helps WVU Medicine prepare for information requests at a moment’s notice.

UltiPro is also helping WVU Medicine’s payroll tax compliance. Employees for the organization work from home in almost a dozen states, and UltiPro ensures that WVU Medicine is prepared for each state’s particular tax requirements. Additionally, the organization is using UltiPro to manage a complex payroll that includes a union contract covering approximately 10 percent of employees. The health system has created user-defined preferences in UltiPro to automate how PTO accruals and longevity payments get calculated for these employees.
